Coaches and Team Officials Training Requirements Policy

You will need to link your member record in HCR to you account:
  • Go back into HCR, you will see yourself and your kids in the member list. There is a link to ‘link member’, search for yourself and link the member,  that will add a new member to the list of members. Its a bit confusing because HCR shows your HCR account, and your HCR member record in the same place even though your account is different than your member record :)
  • Then click on the members menu on the left. You will see your kids and yourself across the top.
  • Click on yourself and then qualifications and you should see your courses.
  • If you can’t find your member record, contact the registrar, it may be at associated with HEO instead of OCMHA.

The OCMHA is equally committed to developing coaches and team officials as it is to developing minor hockey players.  To support this development, the OCMHA sponsors training courses for these individuals and provides encouragement, coaching clinics and other resources.


Every team not only requires a coach, but assistant coaches, trainers, managers, and the OCMHA requires executives and conveners.  The members of the OCMHA elect an executive on an annual basis and that executive appoints conveners to be responsible for the players in each age group.  The conveners are then responsible for ensuring that there is a head coach for each team. 


The conveners typically contact players and parents in early September of each year and the head coach is identified by the end of September.  The head coach is then responsible for recruiting assistant coaches, trainers and managers typically from the parents of that team’s players.


The following table includes the formal qualifications for each of those positions.  The informal qualifications are knowledge of hockey; desire to help kids have fun playing hockey and a reasonable amount of your time.

The following provides more detail on each of the programs in the table:

Coach-1 Course – This program is designed for coaches working with 5 and 6 year old players and is mandatory for all lead on-ice IP instructors and Novice Head Coaches.  Individuals will be reimbursed for the course fee from the OCMHA.  The Coach-1 Program is only required to be completed once by an individual. Details on courses are available at Hockey Eastern Ontario.

Coach-2 Course – This program is designed for coaches working with recreational players from age 9 and above and is mandatory for all house league level head coaches.  Individuals will be reimbursed for the course fee from the OCMHA.  The Coach-2 Course is only required to be completed once by an individual. Details on courses are available at Hockey Eastern Ontario.

Certified Trainer 1 – This program is designed for trainers working with house league teams and it is a requirement that a certified trainer be available for all team games and practices.  Individuals will be reimbursed for the course fee from the OCMHA.  The Trainer 1 course is required to be renewed every three years.  Details on courses are available at Hockey Eastern Ontario.

Respect for Sport (for Volunteers) – This program is designed to help prevent bullying, harassment and abuse and is a requirement for all individuals working with minor hockey players. Individuals will be reimbursed for the course fee from either their team budget or the OCMHA.  The SpeakOut! course is only required to be completed once by an individual. Details on courses are available at https://heo.respectgroupinc.com/secure/


Satisfactory Police Record Check (PRC) –  The OCMHA is required by Hockey Canada (for player protection) to have current PRCs for all its volunteers. PRCs should be applied for from the Ottawa Police Service in early October of each year. It does take a couple of months for the Police Service to complete these record checks.  An Express Records Check is also available but for a fee and only from the 2670 Queesview Drive Police Services location (north of Queesway off Pinecrest) during regular business hours.  A satisfactory PRC is required to be completed only once every three years as long as the individual remains a continuous registered official of the OCMHA.  More information including the appropriate form is available at

Completion of these requirements is not necessarily a requirement to begin the hockey season but each individual or team should plan get their volunteer PRC requirements completed by the end of October.  It is a Hockey Canada/Ottawa District Minor Hockey Association (ODMHA) policy that a team cannot be formerly registered without satisfying these requirements.  Failure to do so, could result in a team being ineligible for games, play-offs or tournaments and/or disbanded. 

Al OCMHA volunteers (coaches, trainers, etc) are responsible for getting a PRC and providing OCMHA proof (paper or PDF copy) indicating satisfactory completion.  Coaches’ PRC's should be sent to your Division Convenor and all others to the Director of Risk and Safety (contact information below).  This data will be stored as a permanent record in a confidential database to ease this process in future years.
